Medical City Green Oaks Hospital is a psychiatric and chemical dependency hospital providing service to adolescents, adults and seniors celebrating more than 25 years of service. Green Oaks Hospital has over 106 beds and 35 physicians on staff. In addition to psychiatric emergency services and our signature WorkReturns program, Medical City Green Oaks Hospital offers intensive outpatient and day programs, as well as inpatient treatment programs for Depression, Bipolar Disorder, Anxiety, Obsessive-Compulsive Disorder, Post Traumatic Disorder, Schizophrenia, Addictions/Alcohol and Substance Abuse, Medication Stabilization, Suicidal and Homicidal Clients and Self-Injurious Behaviors.

The Office Manager duties include but are not limited to:

  • Maintenance of the daily operations and general management of the practice.
  • Developing educational planning programs, allocating and assigning duties to employees, and monitoring the activities and operations of all the practice(s) components to ensure the practice(s) meets its objectives.
  • The overall operational responsibility for the routine business and clinical functions of practice locations and clinical staff including front desk, medical records, nursing, and ancillary services to ensure maximum utilization
  • Enters or oversees that Charges/ billing, and reconciles daily. Reviews charges, visit encounters, and cash receipts for variations and patterns. Conducts spot audits to ensure compliance with established policies and procedures.
  • Oversees the daily/monthly expenditures, staffing and overtime hours
  • Ensures discharges are completed, broken down, entered, and submitted timely
  • Ensures Therapists and business office administrative support needs are met daily
  • Monitors patient flow through the practice(s) to ensure appropriate utilization of physician time and staff coverage.
  • Monitors or reviews patient registration and data entry into the system for timeliness, accuracy, and thoroughness.

Qualifications

Education/Experience

  • Some college or technical (secretarial) training preferred
  • Prior secretarial experience is essential.

Knowledge, Skills, and Abilities

  • Presents in a professional manner with dress, interactions with staff and clients, and all manner of communications
  • Excellent verbal, written, and behavioral communication skills required
  • Skilled in decision making, as well as facilitating change and initiating action
  • Must be proficient in Microsoft Word, PowerPoint and Excel.
