Job Summary and Qualifications

Under the direction of the Office Manager, the Receptionist plays a key role as Sarah Cannon’s front desk ambassador, displaying a positive, energetic attitude and work ethic. The Receptionist is responsible for providing excellent customer service to all members of the company, external clients, vendors, monitors, and other visitors. Additionally, the position will be responsible for various administrative activities as they relate to daily operational business needs.

Duties include but are not limited to:

  • Welcomes visitors, in person or on the telephone, by answering promptly, courteously, and professionally, and directs all inquiries to appropriate team members
  • Delivers excellent customer service at all times
  • Adheres to and promotes the brand, Mission, and Culture of Sarah Cannon
  • Upholds a professional demeanor and appearance


  • Maintains badge process for vendor/visitor/monitor
  • Works closely with Security and Health & Safety on escalating issues, conducting badge audits, and ensuring all related policies and procedures are followed
  • Assists regulatory department with checking monitors in and out; follows the protocols set by Regulatory and Sarah Cannon Health and Safety
  • Coordinates volunteers for front desk coverage; trains front desk volunteers as needed
  • Organizes and keeps front desk/reception are neat and presentable at all times

Telephone Operator:

  • Operates multi-line telephone system for calls and resolves calls quickly and accurately
  • Understands askSarah Hotline; partners with askSarah team for patient-related calls as appropriate
  • Becomes familiar with departments and positions quickly to be able to transfer or escalate inquiries

Office Assistant:

  • Manages supplies for the catering closet, reception desk, coffee stations, copy rooms and reception fridge; maintains inventory and places orders to replenish stock as needed. 
  • Light budgeting required
  • Manages and distributes birthday cards on behalf of the company; maintains and updates birthday calendar 
  • Works with Training and Education department to successfully manage colleague training requirements as needed
  • Creates content and design of weekly Administrative Community newsletter
  • Connects with Facilities when colleagues escalate maintenance issues
  • Works cooperatively with all other departments and colleagues; collaborates and operates closely with administrative team
  • Follows tasks through to completion and escalates unresolved issues to manager
  • Provides proactive and creative recommendations to enhance the efficiency and quality of work
  • Performs other duties as assigned

    For this role, you must have:

  • Knowledge of office management practices
  • Knowledge of secretarial procedures
  • Knowledge of grammar, spelling, and punctuation to type from draft copy
  • Associate Degree is required
  • One year of secretarial experience or equivalent experience required
  • Bachelors Degree and 3+ years experience preferred
