Terre Haute Regional Hospital is a 278-bed, Level III Trauma Center offering comprehensive medical and surgical programs. We are a Hospital Corporation of America (HCA) facility, one of the nation’s largest and leading healthcare systems. Accredited by The Joint Commission, we have provided quality care to the Wabash Valley community for 135 years. We were first in the region to become an Accredited Chest Pain Center and to become certified in hip and knee replacement. This position creates and maintains current records of hospital service files, contracts, preventive maintenance and service repair. Assisted in the procurement of material, equipment and parts for department. Maintains time keeping for department and work schedule. Reconcile purchases for department. Tack work orders status and generate reports for review by Director. Communicate with vendors and resolve invoice issues. Coordinate procurements with accounting. Type letters, memos and meeting minutes as requested. Receives incoming calls for department.  Edits and prepares all Plans and policies in coordination with the Director.


Position responsibilities:

  • Responsible for the regulatory record keeping of The Joint Commission, AHCA, CMS and the City of Terre Haute Fire department
  • Reporting to the EOC Committee
  • Schedule and recording inspections
  • Schedule and report fire drills
  • Maintains equipment inventories and history files which include ID numbers, purchase information, repair and preventive maintenance history, safety and information, safety and electrical tests, service manuals, and vendor information
  • Prints off all scheduled work orders for the month for Plant Operations
  • Maintains up to date personnel record on Plant Operations, which includes PTO, EIB and in service education etc
  • Closes out recurring payments for Plant Operations
  • Completes necessary work orders for needed maintenance or repairs to the appropriate departments
  • Purchases material and parts necessary per purchase orders for Plant Operations Department. Follow up on shipping dates and back order item
  • Resolves vendor invoice discrepancies
  • Prepares work orders for outside vendors, relating to repair and preventive maintenance of hospital materials
  • Prepares check requests for special projects and materials
  • Act as receptionist for Plant Operations office
  • Types departmental letters, memos, and minutes as requested
  • Maintains strict confidentiality of all hospital information
  • Assists the Director by preparing schedules, records, issuing supplies and adjusting schedules for staffing when emergency arise
  • Attends unit meetings, in service and other educational programs to maintain competency require
  • Assists with organizing and participating in county disaster drills.
  • Performs Quarterly Regulatory Rounds.  Reports deficiencies to departments and report’s findings at EOC Committee
  • Processes supply/equipment expense forms, check requests and other forms for Emergency Preparedness as directed by Director of Support services
  • Attends applicable in-service programs
  • Performs other duties as assigned

Essential skills and experience:

  • Associates degree, office administration or a related degree. 
  • Computer literacy & familiarity with nearly all Microsoft Office products.
  • Above average communication skills in all forms.


Valued but not required skills and experience:

  • Experience in a healthcare environment


Physical demands and the work environment:

  • Physical demands: This position will require you to lift 50 pounds or less frequently, lift up to 100 pounds occasionally.  Walk and stand most of the day, bend and stoop frequently, push and pull equipment and carts on a regular basis. Push loads for 25 pounds or more frequently. Manual Dexterity (eye/hand coordination), walk 6 hours per day, Reach above shoulder, Depth Perception, Manage stress appropriately, Work alone
