Position Description: The Residency Program Coordinator directs the Graduate Medical Education (GME) administrative activities for the residency program, in conjunction with the physician program director, GME Director and ADIO. Involves general guidance and direction by leadership. The employee will be expected to perform most job duties independently and in accordance with established departmental, accreditation requirements and hospital policies and procedure.

  • Manages the recruiting activities for the residency.

  • Manages the Electronic Residency Application System (ERAS) for program applications.

  • Provides access to applicant files for faculty interviewers by downloading candidate files from AAMC post office.

  • Screens candidate files according to criteria set by program director.

  • Plans and executes all aspects of approximately all interview days to include scheduling of candidates and faculty interviewers and provision of all applicant material to interviewers.

  • Prepares and submits new hire paperwork and copies of application packets to GME Office and Human Resources for selected candidates.

  • Plans departmental orientations for all new residents and fellows in each of the programs.

  • Provides professional assistance to the physician program director to maintain program accreditation with the Accreditation Council for Graduate Medical Education (ACGME).

  • Maintains current data fields on the Accreditation Data System (ADS) to include: 

  • 1. Faculty rosters with faculty licensure and board certification

  • 2. Faculty scholarly activity (publications, presentations, and leadership roles).

  • 3. Resident scholarly activity.

  • 4. Resident enrollment rosters and graduation data.

  • 5. Resident procedures.

  • 6. Resident milestone progress as determined by the clinical competency committee.

  • In coordination with the GME office, maintains program letters of agreement with external sites.

  • Prepares and coordinates materials and resources for the ACGME site visit reviews, to include preparation of the site visit documents; determines and solicits documentation and statistical information needed from affiliate sites and affiliate site directors to complete the site visit document.

  • Initiates, develops and implements residency and fellowship program, policies as required by the ACGME, in conjunction with the physician residency directors and the GME office.

  • Monitors duty hours for all residents and fellows and analyzes data to determine compliance with ACGME duty hour rules.

  • Monitors resident and faculty compliance with completion of ACGME surveys to ensure appropriate compliance rates reached.

  • Schedules and records annual program review as specified by the ACGME.

  • Schedules and records all Program Evaluation Committee and Clinical Competency committee meetings.

  • Prepares required documents and participates in special program reviews as directed by their GME Office.

  • Creates and maintains resident and fellow didactic schedule to include procurement of space and speakers and documentation of attendance, as required by ACGME.

  • Schedules and proctors In-Service examinations.

  • Monitors evaluation process, both paper and online, at primary education sites and at all participating sites to include evaluation of residents and fellows by faculty after each rotation; evaluation of faculty by residents; evaluation of program by faculty and by residents semi-annual evaluations of residents and fellows, final written evaluations of graduating residents and fellows and evaluations of residents by multiple evaluators, including patients, medical students, and peers; and other evaluations as required by the individual ACGME program requirements and the GME Office.

  • Completes final evaluation for verification of training purposes and credentialing packet.

  • Arranges appropriate elective rotation for residents and fellows.


Minimum Requirements:
  • Bachelor's Degree or equivalent experience is required.
  • Master's degree is preferred.
  • Previous administrative and project management experience. 
  • Experience working with Medical Residency Programs.
Skills, Knowledge, and Abilities:
  • Excellent communication skills (verbal and written); excellent organization skills; attention to details, ability to work with computers on common office software; ability to learn electronic data entry and evaluation systems.
