Job Summary and Qualifications

The Patient and Family Services Representative acts as an information and guidance resource in designated areas throughout the hospital to enhance the total patient and guest experience. Provides patient activity coordination, patient flow direction and problem solving. Welcomes visitors and establishes positive first impressions. Answers telephones in a professional and courteous manner directing inquiries to appropriate location. Provides navigational assistance to visitors and patient families, escorting them to destination when appropriate. Designated areas include and are not limited to the service desks at Day Surgery, the main entrance reception desk, lobby pavilion, 2nd floor mother/baby, icu waiting areas, Heart and Vascular Tower and Emergency Department. Take ownership of and respond to complaints, concerns and other matters registered with the concierge in a timely manner, following up until issue is resolve

What you will do:

  • Serve as first point of contact for guests and is responsible for establishing a positive first impression. Answers telephones, reviews and disburses general patient information, and assists individuals with way finding. Responsible for the service area and assuring the area to be safe, clean, well organized, and visually appealing for guests.
  • Coordinates communication between patients, families, and staff. Responsible for notifying family members of visitation information for specific service area. 
  • Responsible for collecting appropriate contact information from families in order to coordinate communication with nurses and physicians when family members need to be updated about patient condition. 
  • Responsible for constant contact with families in order to assure adequate communication and satisfaction with services provided. 
  • Escorts family members to recovery room, consultation rooms and other areas to ensure easy navigations within the facility.
  • Establishes a friendly service environment in specific high traffic flow locations throughout the hospital. Interacts with guests to identify needs, concerns and initiates service recovery in a timely and professional manner. 
  • Refers service issues to the Complaint and Grievance Compliance Coordinator as appropriate.
  • Participates in implementation of departmental service initiatives to improve the level of customer service for patient sand families.
  • Maintains an awareness of current patient satisfaction scores and takes initiative to provide and coach other team members on superior customer service at all times.
  • Works with and trains volunteers to assist in service desk functions.

What qualifications you will need:

  • High school Diploma or equivalent
  • Previous experience in customer service required
