Introduction

The Physician Outreach Specialist is responsible for planning and executing resident and fellow educational events with identified physician training programs throughout a multi-state territory. The goal of this position is to develop new relationships with targeted programs while strengthening relationships with current programs by assisting HCA Physician Recruitment Divisions.

The Physician Outreach Specialist will coordinate, host, and travel to events across the country. While this role is based in Brentwood, TN, there is an opportunity for flexile work schedules since the travel expectation in this role is 50-60%.

Job Summary and Qualifications

  • Develops and maintains contacts with educational institutions, residency and fellowship programs.
  • Establishes and maintains relationships with training program leadership (Program Directors and Program Coordinators).
  • Plans, manages, and executes multiple events in designated territory.
  • Covers all aspects and stages of event organization, including, but not limited to initial inquiries, menu planning, invitation list and development, event execution, follow-up, reporting, and billing.
  • Develops educational presentations and appropriate content for resident and fellow events.
  • Presents relevant information through formal presentation sessions to resident and fellows.
  • Interfaces with division VPs and recruiters to ensure appropriate residency and fellowship targets are identified.
  • Interfaces and collaborates with HCA service line leads to ensure alignment with key strategies.
  • Develops a pipeline of quality physician candidates for the HCA Stipend Program through residency and fellowship program outreach and ensures alignment with strategic needs.
  • Establishes and maintains appropriate correspondence with resident and fellow candidates.
  • Interfaces with division VPs and recruiters to ensure appropriate physician teamwork referrals are initiated and followed through.
  • Ensures the data received from Resident and Fellow events is compiled into various reports and transferred into HCA Physician Recruitment’s CRM/tracking system (currently Salesforce/Optimum) and other systems as appropriate.

KNOWLEDGE, SKILLS, & ABILITIES – This position requires the following minimal requirements:

  • Demonstrated experience with on-site event coordination, management and execution.
  • Knowledge of healthcare recruiting and healthcare operations.
  • Excellent interpersonal, communication, and organizational skills.
  • Must exercise diplomacy, discretion, sound judgment, and flexibility in varying situations, and must maintain confidentiality.
  • Knowledge of organizational policies, procedures, and systems.
  • Ability to work in a fast paced environment-handling multiple tasks simultaneously.
  • Ability to develop alternative solutions to problems; comparing and analyzing data; preparing clear, concise, thorough, meaningful, and grammatically correct written reports, letters, memoranda, and other documents.
  • Ability to independently plan, organize, prioritize, schedule, coordinate, and make decisions relating to assigned tasks and responsibilities.
  • Ability to work after normal business hours as required to fulfill the responsibilities of this position.
  • Position requires extensive overnight and some weekend travel.
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Extensive knowledge of principals and practice of business administration including, but not limited to: report preparation, creation of spreadsheets, database information input and maintenance.
  • Extensive knowledge of presentation preparation.

EDUCATION –Bachelors degree is preferred (appropriate experience can be substituted for education.)

EXPERIENCE – Working knowledge of physician recruitment or related physician relations activities. Demonstrated experience with on-site event coordination
