Job Summary and Qualifications

POSITION SUMMARY:

Under the direction of the Surgical Services Administrative Director and Surgical Services Director, coordinates essential compliance, operational and clinical processes of the Surgical Services Department.

ESSENTIAL FUNCTIONS:

  • Maintains liaison with department directors/managers/supervisors and respond to their general questions assisting where possible. Oversees the clerical operation and the day- to day administration of the office to ensure smooth operation. Maintains established policies and procedures, objectives, and safety standards.
  • Under the direction of the Surgical Services Administrative Director and Director, gathers all essential data and prepares Program Quality reports on a quarterly basis for the Surgical Services Department.
  • Coordinates filing system as necessary.
  • Coordinates monthly chart audits for the Surgical Services Department.
  • Assists with maintenance and updates of department specific policies and procedures.
  • Participates in hospital or departmental performance improvement activities.
  • Provides support to other departments in the Surgical Services Product line when appropriate.
  • Completes Order Entry and purchases.
  • Coordinates monthly/quarterly surgical services meetings
  • Resource back up for departmental charges and L-line submissions
  • Responsible for scheduling
  • Makes travel arrangements for the Surgical Services Department.
  • Other duties as assigned

What qualifications you will need:

EDUCATION REQUIRED AND/OR PREFERRED: (list required and preferred separately)

  • At least two years of post-high school education. May substitute a combination of training and experience for education.

LICENSURE/CERTIFICATION: (list required and preferred separately)

  • None required

EXPERIENCE REQUIRED OR PREFERRED: (list required and preferred separately)

  • At least 5 years of progressively responsible, complex secretarial experience or an equivalent combination of training and experience.

SKILLS, KNOWLEDGE, AND ABILITIES:

  • Computer literate, specifically on Microsoft, Excel and PowerPoint knowledge of modern office practices with knowledge of business English spelling.
  • Ability to act on own initiative and exercise independent judgement.
  • Ability to assume responsibility and make sound decisions in accordance with established policies and procedures.
  • Ability to understand and follow quickly and accurately brief oral and written instructions.
  • Ability to organize and complete work in an accurate and timely manner.
  • Ability to prepare and audit reports.
  • Have the ability to establish and maintain effective working relationships with Administration, Medical Staff, department managers, staff, and hospital personnel.
  • Ability to deal tactfully and communicate effectively with persons of diverse educational and cultural backgrounds.
  • Ability to speak Spanish is desirable.
