Job Summary and Qualifications

This position will be a business support staff role that works with our provider team, business team, and employee health team on a daily basis. The PRN role will specifically help with front desk tasks, Scheduling patients for exams/procedures, checking in patients, chart preparation, answering phones, data entry, and health information management needs. Maintains patient records in a confidential and organized manner and facilitates general communications for the clinic. Provides needed assistance to ensure OHS operates efficiently and provides high quality services in accordance with the organization’s mission, vision, values, and goals.

1. Responsible for processing incoming patients into the clinic system.

  • Courteously greets patients; advises them of waiting times and options for waiting and/or appointment availability.
  •  Uses proper techniques to screen patients regarding method of payment.
  •  Obtains a signed authorization for treatment from each patient.
  •  Verifies insurance eligibility promptly and correctly.
  •  Acquires necessary information to register patients on the computer through use of patient registration form or other means as needed.
  •  Updates addresses and phone numbers on established patients.
  •  Selects appropriate clinic procedures from computer database and generates flow sheet and chart documentation.
  •  Advises Business Office Manager or Operations Manager immediately of any problems experienced with computer equipment, software, or registration challenges.
  •  Notifies clinic supervisor / Operations Mgr. of delays in care. Facilitates timely services for OHS customers.
  •  Collects appropriate payments form self-pay clients following visit.

2. Responsible for answering incoming phone calls and scheduling procedures / exams.

  • Answers the telephone within five rings and handles conversations in a pleasant and caring manner.
  •  Takes accurate messages for other staff members. Completes clinic message form or transfers calls to the appropriate staff member.
  •  Answer questions regarding OHS inquiries or customer/patient concerns.
  •  Books appointments and documents information in appointment record keeping system.

3. Responsible for checking out patients treated at OHS.

  • Collects appropriate fees after treatment; properly enters codes and charges.
  •  Keeps accurate and balanced day sheets of patient activity; prepares accurate summary sheets and deposits; reconciles deposits to day sheets. Files summary sheet in office records; forwards deposits to accounting department.
  •  Completes patient follow-up per physician/ medical staff orders (i.e.; MRI appointments, referrals, etc.).
  •  Processes discharge paperwork and places medical record in the appropriate place.

4. Maintains and assembles patient medical records.

  • Maintains confidentiality of patient records and information according to legal requirements and OHS standards.
  •  Accurately prepares new patient charts, retrieves established patient charts, and photocopies charts promptly as needed.
  •  Pulls and prepares patient charts prior to appointments. (Prior day)
  •  Promptly files returned charts.
  •  Files charge sheets, encounter forms, reports, and other papers promptly according to guidelines for organization.
  •  Handles chart requests and records release requests accurately and in a timely manner.
  •  Pulls charts for other needs, such as telephone calls, incoming records reports, and gives them to appropriate staff.
  •  Accurately documents missed/canceled appointments inpatient charts.
  •  Maintains files and monitors status of outgoing patient records request.

Shift Time: 7:45AM-1:00PM M-F

What qualifications you will need:
  • High School Graduate / GED
  •  Other preferred experience: 6 months in a medical setting. Bilingual 

  • Call center experience preferred
