Job Summary and Qualifications

Responsible for the secretarial functions in the appropriate department. Interacts with patients, visitors, physicians and their office staff, and other hospital personnel in a professional manner. Enters patient orders electronically. Keeps patient information confidential. Exercises professional judgment in performance of services and maintains demeanor complementary of medical ethics.

  • Performs clerical functions in compliance with hospital policies and procedures.
  • Responsible for courteous, accurate and timely communication of information.
  • Take messages accurately and relays them immediately
  • Responsible for supervision of nursing unit’s physical needs.
  • Transcribe orders.
  • Answer telephone in a courteous and professional manner stating name, title and unit.
  • Responsible for ordering supplies on a regular schedule.
  • Responsible for maintaining chart organization.
  • Responsible for keeping files/forms in orderly, organized fashion.
  • Obtain equipment such as beds, pumps, etc as needed by nurses.
  • Print off patient instructions as needed.
  • Prepare charts for new patients; and organize charts for discharged patients.
  • Discharge patients immediately from computer upon patient leaving the unit.
  • Notify housekeeping of rooms to be cleaned promptly after patient discharge.
  • Enters all physician orders including medication orders.
  • Notifies nurse of new electronic patient orders.
  • Notifies departments of special orders.
  • Acts as a resource person for staff and physicians regarding input of orders.
  • Enters information into Meditech accurately.
  • Provides assistance, guidance, and direction to patients, visitors, nurses and physicians in a professional manner.
  • Interacts with family members as needed, in a customer-friendly atmosphere.
  • Answer call lights and refers to licensed nurse, as needed.
  • Assist with sending specimens to lab as needed.
  • Responsible for timely and accurate patient registration.
  •  Interview patients at workstation or at bedside to obtain all necessary account information. Bed-side registration performed utilizing carts/computers on wheels.
  •  Ensure charts are completed and accurate.
  • Verify all insurance and obtain pre-certification/authorization.
  • Ensure that all necessary signatures are obtained for treatments.
  • Answer any questions and explains policies clearly.
  • Process patient charts according to paperwork flow needs and established productivity standards.
  • Welcome patient and family members in a professional manner. Contact the nursing staff for emergency medical needs and answer patient and visitor questions.
  • Interview incoming patients, his/her relatives, or other responsible individuals to obtain identifying and biographical information with insurance and financial information.
  • Secure all signatures necessary for treatments, release of medical information, assignment of insurance benefits, and payment of services from legally responsible parties. Obtain copies of necessary identification and insurance cards.
  • Explain policies regarding services, charges, insurance billing, and payment of account. Request full or partial payment for services rendered according to collection policies. Issue a Business Office letter to all patients according to policy.
  • Produce paperwork on each patient for distribution to appropriate departments. Align pertinent documents for establishing the patient’s medical record and financial file.
  • Register and admit all patients after the other registration departments are closed. Route admission documents and forms to appropriate departments.
  • Work with physician offices and ancillary departments, providing information when necessary or forwarding relevant.
  • Document complaints received from patients, the medical staff, and ancillary departments on an incident report form.
  • Check for physician orders and attaches them to the patient medical records to ensure that patients are receiving.
  • Activate all pre-registered patients that have reported for services.
  • Attends in-service presentations, and completes mandatory education week, including but not limited to, infection control, patient safety, quality improvements, MSDS and OSHA standards.

  • Performs other duties in the Department as required.


What qualifications you will need:
  • Required: High School Graduate / GED
  • Preferred: Previous clerical experience in the hospital field. Medical terminology knowledge. Computer skills.
