Job Summary and Qualifications

  • Welcomes and greets patients in a polite, friendly, prompt and helpful manner.
  • Answers multiple line switchboard and transfer calls to appropriate staff members.
  • Answers the phone by the third ring and always identifies their self by name, company name with an offer of assistance.
  • Keeps track of all facility guests, community representatives, job applicants, and all other non-patient guests who enter the facility by maintaining a visitor log. Immediately notifies the appropriate personnel of the guest’s arrival.
  • Obtains proper consent forms. Obtaining proper patient consents prior to admission is one of the most basic fundamental duties of the job of front desk staff. Patient consent forms are legal documents and it is our policy that no patient is to be seen if they have not signed, refuse to sign or have altered the consent forms in any way.
  • Obtains accurate patient information and precisely enters it into the computer system for new patients. Obtains accurate patient information and faithfully updates it for returning patients to maintain accuracy for patients, billing department and third party payors.
  • Scans charts, demographic forms and HIPAA Acknowledgement forms, etc. and always double checks to make certain scans are legible.
  • Collects and posts payments, and gives receipts to patients.
  • Obtains and verifies insurance information by contacting insurance companies or using web based system in the Internet.
  • Makes sure all patient forms are completed correctly and reviews for accuracy, according to office policies.
  • Enters procedures codes into progress notes. Completes charts and confirm with proper initials.
  • Schedules appointments.
  • Counts Petty Cash.
  • Follows opening and closing procedures according to office guidelines. Assures the readiness of the Front Desk area for each working day. Including but not limited to; makes copies, clean and organize Front Desk, stock refrigerator, verify money and drop in safe, turn on/off computers, lock/unlock all doors, turns phones to “Night” mode, etc.
  • Maintains Front Desk area, patient restroom and lobby areas are clean and organized on an hourly walk-around basis. Throws away old bottles, straighten magazines.
  • Conducts themselves professionally and responsibly at all times in a manner which protects and safeguards the confidentiality of patient information in compliance with HIPAA laws.
  • Does not discuss or disclose confidential patient information outside of the workplace.
  • Closes computer screens, protects passwords and locks off computer access when walking away from computers.
  • Ensures that drivers’ licenses, insurance cards, credit cards and other patient identification materials are not left unattended on counter tops, in copy machines, etc. and exercises great caution to immediately and personally return them to their proper owner.
  • Ensures all patient registration materials such as paperwork and computer data files containing sensitive information like patient demographic data, social security numbers, credit card numbers, insurance policy information, financial information and other highly sensitive information are locked down or immediately disposed of in the shredding bins expressly provided for that purpose.
  • Self-monitors and exercises discipline in all verbal, email & telephone conversations in accordance with HIPAA laws. Never calls out to patients across the lobby about chief complaint or other medical information, never discusses medical information at the front desk in a manner which may be overheard by other patients, or allows clinical staff to come to the front and discuss sensitive medical information with patients from behind the front desk.
  • Adheres to “red flag” identity theft rules as delineated in company policy and federal regulations.
  • Helps mentor new employees during their training period; answers questions and provides support. Takes initiative and makes use of facility slow periods by reviewing charts, scans and other registration documents for accuracy.
  • Adheres to dress code, phone protocols and all other policies as delineated in the Front Desk Orientation and Training Guide and other training materials.
  • Participates in educational trainings and orientations to maintain and advance competency. Remains current with company emails.
  • Uses the computer time clock in an accurate and responsible manner. Is reliable and punctual in clocking in and out for all shifts and reports all time care errors to Human Resources immediately upon noticing the error.
  • Remains current with company emails.

Education:

  • High School graduation or equivalent. 
  • Two (2) years of college and/or an Associate Degree (AA) is helpful. 

MD Now Urgent Care Center is a business that is open 7 days a week, 365 days a year – evenings, holidays and weekends. We have multiple locations and as a condition of your employment you must agree to make yourself available to work at any or all of them.
